Working with Others

eXpresso enables LotusLive users to work together on the same document at the same time.  One person will be the editor.  When changes are made and saved, other users who are looking at the file will see the changes in real time.  Edit control can easily be passed back and forth among multiple users.  Even better, eXpresso does not care which application each person is using to view and edit the file.  This means that I can work in IBM Lotus Symphony while you work in Microsoft Office, yet we can collaborate on the same file.

You can collaborate with as many users as you would like.  The following example shows collaboration between 2 users. 

I have shared the file below with Scarlet.  I open it using Microsoft Office.  I am the editor and I can see that only one user (me) has the file open.

When Scarlet opens the file, I am notified that she has opened the file.

I now see that there are 2 users looking at the file (me and Scarlet) and I can make Scarlet the editor of the file.

If I make Scarlet the editor, I will be notified that, if I want to edit the file, I’ll need to request editing control from Scarlet.

When Scarlet makes a change to the file and saves it, I will see the file reload and will see the changes that she’s made to the file.


Important Collaboration Terms

IBM LotusLive lets users assign one of two permission levels to people with whom the file is shared.  Users can be designated as Authors, meaning they can make changes to the file using eXpresso.  Alternatively, users can be designated as Readers, meaning they can view the file using eXpresso, but will not be able to make changes to it.  (Note: LotusLive allows both Authors and Readers to download the file.)

eXpresso also uses the term Editor to describe the person who has active control over the document and can make changes to it.  Only file owners or people designated as Authors can be the Editor.  Someone designated as a Reader when the file is shared cannot become an Editor unless the file owner changes the sharing permission.   Although many people can be designated as file Authors, only one person at a time can be the Editor.
