Working with Files

Upload a File

To upload a file go to "My Files" and click the Upload icon. Click the Browse button to find the .xls, .ppt or .doc file you would like to upload. It works just like attaching a document to an email. Once you have located the file, click Open. If you would like to upload more files, click the "Upload more files" link. The files will be automatically uploaded to My Files unless you select an existing folder or create a new folder.

Note: eXpresso supports .xls, .doc and .ppt files. Users of Office 2007 will need to save their files as Office 97-2003 files before uploading them to eXpresso.

File Size

There is a practical limit to the size file that works well in online applications. Therefore, we limit files to 5 MB. We advise our users that large files will open and save slowly. You will find that this is true of most online applications. If you are working with a large file, you will want to consider using the eXpresso Add-in. You may notice that it takes a while to open and save very large files, but you will have normal performance as you edit them and perform calculations.

Edit a File

To edit a file, simply click the name of the file you want to edit. The file you have selected will open. You can now edit it, just as you would if you were working on your desktop. When your changes are complete, be sure to click the Save button. Your changes are now saved in eXpresso and you can return to the My Files tab by clicking Close.

The eXpresso Add-in

The eXpresso Add-in for Excel gives you offline access to your online files. It combines the convenience of editing inside Office with the sharing and collaborative environment offered by eXpresso. Files opened "offline" are locked for editing by other users. Once the changes are saved and the file is closed, the lock is released.

File Properties

To view the properties of a file, click the Expand icon next to the file. This will open the file properties to reveal any notes, tags or sharing details. You can also change the name of the file by accessing the file properties.

View File History

To see the history of a file, click the box next to the name of the file. Next click the File History Reports link from the menu on the left. You will see the history of your file including actions related to editing, sharing, and notes.

Rollback Changes to a file

You can rollback (delete) changes to a file if the Set Save Point box was selected when the changes to the file were saved. To rollback the changes, select the box next to the file name and then click History of Files from the menu on the right. Click the Rollback link from the Actions on Files column and the file will be restored to the previous version.

Time Out Period

For your security, eXpresso will automatically log users out of the application after 60 minutes of inactivity. This is to ensure that unauthorized users do not access your file.

Print a File

Users of Office 2007 might not see the print icon when a file is open in eXpresso.  To enable printing from eXpresso, open Excel, PowerPoint or Word and add “Quick Print” to the Quick Access Toolbar.  Instructions on how to do this can be found here.  Note: People who have been given view only access to a file will not be able to print.
